Pro Tip: Decimal Hours for Payroll

Always use decimal hours for payroll. 8 hours 30 minutes = 8.50 hours — not 8.3! Multiply decimal hours by your hourly rate to get exact pay. Pair with our salary calculator to see your annual equivalent.

How to Use the Hours Calculator

Our hours calculator has two modes. Time Difference mode finds exact hours and minutes between any two clock times — even overnight. Work Shifts mode lets you add multiple shifts across the week and get a total with overtime tracking. Both modes show decimal hours for payroll and optional pay earned. Also try our time calculator for adding/subtracting durations, and our salary calculator to convert hours to annual salary.

📐 Time Difference Formula

End time − Start time = Duration
Duration − Break = Net hours worked
Decimal hrs = hours + (minutes ÷ 60)

For overnight shifts, the calculator adds 24 hours to the end time if it's earlier than the start time — e.g. 10 PM to 6 AM = 8 hours.

💰 Overtime Rules (US)

  • Standard week: 40 hours at regular rate
  • Overtime: Time and a half (1.5×) over 40 hrs
  • Double time: 2× rate in some states (CA: 12+ hrs/day)
  • Daily overtime (CA): 1.5× after 8 hrs in a day
  • Exempt employees: Salaried roles typically not eligible

Frequently Asked Questions

Enter your start time and end time in our hours calculator and click Calculate. The tool subtracts start from end, handles midnight crossings automatically, and shows hours and minutes plus decimal hours. For example: 9:00 AM to 5:30 PM = 8 hours 30 minutes = 8.50 decimal hours.
Divide the minutes by 60 and add to the hours. For example: 7 hours 45 minutes = 7 + (45÷60) = 7.75 decimal hours. Common conversions: 15 min = 0.25, 30 min = 0.50, 45 min = 0.75. Our calculator shows decimal hours automatically for easy payroll entry.
Our calculator handles overnight shifts automatically. If your end time is earlier than your start time (e.g. start 10 PM, end 6 AM), it recognizes the midnight crossing and calculates 8 hours correctly. You can also set different dates for start and end to handle multi-day shifts.
A standard full-time job is 40 hours per week × 52 weeks = 2,080 hours per year. After accounting for 10 federal holidays, it's approximately 1,880 hours. Many employers define full-time as 35–40 hours/week. Use our salary calculator to convert your hourly rate to an annual salary based on actual working hours.
An hours calculator focuses on work-related time tracking — calculating hours between clock-in and clock-out times, tracking shifts, and computing pay. A time calculator is more general — it adds or subtracts any time durations (days, hours, minutes, seconds). Use our time calculator for general duration math and this hours calculator for work and payroll tracking.
